On-site execution is the key to a flawlessly run program. We send staff on every trip that we operate, ensuring our professional planners are taking care of all the on-site logistics and details, allowing our clients to sit back and enjoy the retreat that they planned.
With a fully 100% transparent philosophy, we detail every line-item in the budget, so you'll know exactly what you're spending (including how much you're paying us!) You'll also have 24/7 access to the latest versions of the budget no matter where you are or what time zone you're in
Every program begins with a phone call. We'll discuss your objectives, ask a few questions, and maybe even throw around a few ideas to begin. We'll explain what we actually do, how it all works, and how we might be able to help. From there, we'll send you a summary by e-mail and if all looks good - get started on a proposal.
We're firm believers in knowing who you're dealing with before a single dime gets spent. Based on our initial conversations, we'll start digging through our mountains of resources to prepare a complimentary proposal for you, outlining at least 3-5 destinations with hotels, activities, and other elements we think would add some color to each option.
Based on the proposed options we'll ask you to narrow down your top 3 choices and we will get to work preparing an agenda and high-level prelim budget for you to compare options and make an informed decision.
After seeing our proposal, you'll decide whether you want to engage us to plan your program. Should you wish to dive deeper or change the scope of the initial proposal we will ask you to sign a simple agreement and make a small deposit as a virtual handshake and acknowledgement of the additional work.
A signed letter of engagement will entitle you to 3 additional scope changes including; date changes, date pattern changes, destination, hotel options, change in group size, budget increases/ decrease, changes thereafter will incur an additional agreed-upon fee charged per hour.
From there, we'll get cracking on diving deeper to find the perfect place for your program.
By this stage, we've more or less figured out (A) the destination, (B) where (and when) you're going, and (C) the general outline of the day-to-day agenda.
Only after you're happy with the budget and itinerary from Step 3, will we finalize the process by signing a contract. After that, the real fun begins as we roll our sleeves up and get elbow deep into the heaps of planning that lies ahead. (But don't worry, we'll be doing most of it!)
Our staff will be in the forefront (while simultaneously in the background, clipboards and all), ensuring everything runs seamlessly and your guests' every need and whim is attended to.
