Travel Research & Proposal Coordinator (12 Month Contract)

Moniker’s corporate retreat planning business is expanding, and we are looking to hire talented people with a passion for researching and planning travel to support the team as we grow. We are hiring a Contract Research & Proposal Specialist who will play a vital role in the first stages of researching destinations for our clients’ retreats, as well as proposing the preliminary ideas for hotels, itinerary inclusions, and preparing the associated budgets to help them make more informed decisions.  

As they will be on the front-lines of our sales and marketing efforts, they can expect to be corresponding daily with hotels and suppliers around the world as they gather RFPs and information, and consolidate the details into proposals that will impress our clients. The ideal candidate should have strong writing skills and be comfortable multi-tasking and managing several proposals on-the-go at any time, capturing and summarizing data between several spreadsheets as responses are collected. They will also have a keen eye for detail, ensuring all information is accurately captured and a flare for the creative when it comes to adding some flourish to the design and writing of our proposals.

CORE DUTIES:
  • Management of RFP Process: Corresponding with hotels, DMCs and suppliers to gather quotes and RFPs.
  • Destination Research: Researching and proposing ideas and elements as part of the itinerary building process for new programs.
  • Proposal Creation: Taking accountability for upcoming proposals including: understanding client briefs and budget, deep research into properties/destinations that align with the brief, composing proposal.
  • Preparation of Budgets: Preparing high-level budgets to allow clients to get a more informed sense of what a particular destination and itinerary might cost.
  • Database Maintenance: Updating and maintaining Moniker’s database of hotels and suppliers.
  • Other Admin Tasks: Performing other administrative duties as assigned by the Research & Proposals Lead.
The ideal candidate
  • Is comfortable with Google Docs, building budgets and using AI tools for creative and persuasive writing for proposals. Existing knowledge in Slack is an asset. 
  • Has administrative experience in an office environment - and is good at managing multiple projects and keeping on top of numerous deadlines and tasks.
  • Is a proactive thinker and communicator with strong verbal and written communication skills in English (and ideally a second language).
  • Has a highly developed left-brain for researching and creative problem solving
  • Is very detail-oriented, and comfortable reviewing multiple RFPs to determine the best based on the client's brief. 
  • A self-starter who can multitask and is highly organized and manages their time well, with the ability to meet deadlines and manage expectations.
  • Comfortable working under tight deadlines. 
  • Works well both as a team player and an individual. Is confident in their abilities to stay focused and on track while working in a remote setting, without direct daily supervision.
  • Interested in working in a small-business "start-up" environment, learning along the way, and growing with the role. Is comfortable with a less structured or formalized training and processes compared to a typical ‘corporate’ cubicle job

     Success in This Role Looks Like

  • Research into destinations and properties always done to an exhaustive level, leaving no stone unturned
  • Budgets, research, and preliminary itineraries are ready to be presented to the client within 5-7 business days
  • Full ownership of the proposal process, including showing initiative with following up with vendors and hotels, picking up the phone when necessary, and escalating issues when needed
  • Being able to think outside the box, and problem solve when presented with obstacles in the research process
  • Being comfortable working with tight deadlines, and working autonomously to manage your time and prioritize tasks accordingly
Compensation

Salary band of CAD$70,000-CAD$80,000 per year depending on experience and profile, with an opportunity to earn bonuses and performance-based incentives. There may also be opportunities to travel in this role, earning additional income through 'guiding fees' via on-site staffing of our programs.
